Migration readiness checklist

Before moving data, agree what a successful first working day will look like. The checklist below turns a broad migration ambition into decisions that can be tested. A fresh test Workspace can support a trial import, while the business team remains responsible for the meaning and quality of migrated records.

Reuse a named-owner migration decision table

Copyable example readiness decision sheet. Preserve the detailed checklist below and add owner, evidence, decision and retest dates to every applicable item.

Use this worksheet to organise your requirements, assign owners and plan the next steps.

Scope and ownership

  • Name the source systems and the owner of each data set.
  • Identify legal entities, branches, currencies, locations and target workflows.
  • Decide which history moves, which stays in an archive and how it will be found.
  • Obtain permission to use any sample data in the test environment.

Data and controls

  • Clean customers, suppliers, products and user lists; retain a decisions log for duplicates.
  • Reconcile opening balances and stock by location with responsible owners.
  • Map statuses, units, tax codes, document numbers and external IDs.
  • Define user roles, approvals, attachment access and retention rules.

Trial and cutover

  • Run one normal and one exception workflow with imported sample records.
  • Check totals, links, documents, reports and language display.
  • Neutralize outbound mail, payments and webhooks in test data.
  • Verify source backups, the trial import, timing, late-change capture and rollback decision points.

Unanswered items should be assigned an owner and date, not silently marked complete. Review your migration readiness.
