Start with outcomes and scope

Choose the first decisions you want the system to support. That may be visibility from enquiry to order, reliable purchasing and stock, or clearer invoicing. Name the teams, business units, currencies, legal entities, locations and external systems involved. Distinguish the first release from later ideas so the initial project has a testable boundary.

Map the real process

Walk through a normal case and an exception for each selected workflow. Identify approvals, data ownership, reports and documents at every handoff. Decide which applications are required and confirm they are available in the proposed subscription package and pinned product release. Catalogue presence alone does not establish a working industry-specific process.

Prepare data and roles

Review customers, suppliers, products, opening balances and stock before import. Agree how duplicates, incomplete records and historic data will be handled. Import a small representative sample, reconcile it and only then plan the full migration. Define who may view, change, approve and export each type of information. A default administrator account is not an access policy.

Test before people rely on it

Run the process with real scenarios in a safe environment. Verify documents, role permissions, exceptions, backup and recovery responsibilities, language needs, mobile browser use and any promised integration. Plan the handover

Agree who owns configuration, training, support, change control and data quality after launch. Record acceptance criteria and unresolved gaps before a live date is set. Discuss an implementation scope.
