ERP Data Export Checklist

A data export is useful only when the receiving party can identify records, relationships and files.

An export review includes relationships and files

Copyable example export inventory. Actual selectable fields, attachments, legal retention and exit assistance must match the agreed service and your permissions.

Records / formatCustomer C01 and orders SO-10/SO-11: CSV fields ID, name, customer reference, currency and amount. Retain stable source identifiers.
Relationships / attachmentsDelivery and invoice references must resolve to the order/customer; file manifest lists document name, record ID, size and access permission.
Owner / verification / destinationData owner compares 2 orders and total100,000 with source, checks files open and records destination access. Exports are not a full runtime backup.

Use this worksheet to organise your requirements, assign owners and plan the next steps.

Put it into practice

List customers, products, transactions, attachments, IDs and configuration. Export a sample, reopen it outside the application and reconcile counts and key totals. Decide which history remains in a read-only archive and how personal data is protected during transfer.

Put the right controls in place

Confirm the available export path, its permissions and file format for the Workspace. A backup made for service recovery is not necessarily a portable migration package.

Use this guide with the people who own the process. Agree responsibilities, prepare the necessary records and turn the next steps into a working plan. Get help with your implementation.
